1. Booking Policy:
The activities and experiences offered by our organization are exclusively reserved for members of the sports association. We are an association that promotes activities related to sailing, kitesurfing, freediving, and other marine sports disciplines. Our goal is to offer unique experiences to those who share our passion for the sea and sports.
At the time of booking one of our experiences, participants who are not yet members of the association must apply for membership. The membership fee, which includes the first-year membership card, is already included in the contribution requested for the specific experience. This ensures that all participants have full access to the activities and benefits reserved for members.
Becoming a member of the association is not just a formal requirement but also a commitment to sharing the values of respect for the marine environment, safety during sports activities, and the importance of being part of a community that values personal growth through sports and adventure.
To complete the booking of a boarding, it is necessary to fill out the form and pay a deposit equal to 50% of the requested contribution by bank transfer (details below) or PayPal. Your booking is confirmed upon receipt of the deposit.
The balance can be settled by bank transfer or PayPal no later than two months before the start of the experience, or in cash on board (USD) on the day of boarding.
Payments made through PayPal carry a 3.5% processing surcharge, which is shown at checkout before you confirm.
For special events with a fixed date (such as retreats organized with partners), the deposit and payment terms indicated on the event page apply.

2. Cancellation Policy:
a) Cancellation by the participant:
If you cancel your booking up to 2 months before departure, you will be entitled to request a refund of the amount already paid.
For cancellations made less than 2 months before the start of the experience, the contribution paid will not be refunded, but you can use it as credit to participate in other proposals and experiences organized by the association. The credit is valid for 12 months from the date of cancellation and is not transferable to other people. We still recommend taking out travel insurance that covers this eventuality.
b) Cancellation by us:
In the event of extraordinary circumstances, such as natural disasters or a deterioration in the political stability of the destination country, if we deem the safety of the trip compromised, or if the minimum number of participants is not reached within 30 days of the departure date, the participant will have the right to:
Use the contribution paid to participate in other activities or sailing options provided in the association’s seasonal program. Request a refund of the amount already paid.
Note: No additional costs or expenses, beyond the contribution paid, will be recognized as compensation for the cancellation of the trip. Therefore, we strongly advise taking out travel insurance to cover any additional costs.
Where a refund is due, it will be issued within 14 days, using the same payment method as the original payment.
3. Travel Requirements and Insurance:
It is your responsibility to arrange personal travel insurance that covers the activities you intend to undertake and provides adequate coverage for delays, cancellations, medical expenses, and personal belongings. We recommend taking out travel insurance that covers possible costs in case of cancellation or postponement of the trip.
It is also your responsibility to have a valid passport, obtain any necessary visas, and meet the health requirements of the destination country.
Before boarding, every guest must complete our pre-boarding form with the personal and health information it requests. Acceptance on board is conditional on the completed form and on the accuracy of the information provided: some activities we offer, such as freediving, have medical contraindications, and we can only keep everyone safe if we know about them in advance.
4. Group Conduct:
Guests who behave inappropriately towards the crew, other guests, or local people may be asked to leave the experience.
Inappropriate behavior includes verbal abuse, aggressive attitudes, violence, repeatedly disruptive behavior, excessive consumption of alcohol or drugs, sexual harassment (including unwanted comments or contact), or actions that intimidate, offend, or humiliate a person based on personal characteristics such as age, race, gender, disability, religion, or sexual orientation.
In such cases, no refund will be granted, and all costs related to the early departure will be borne by the guest.
5. Limitation of Liability:
The sports association will not be liable for any costs, damages, or losses resulting from:
Delays or cancellations caused by natural disasters, extreme weather conditions, or other events beyond the association’s control.
Personal expenses not covered by travel insurance or the policy taken out.
Damages resulting from the failure to comply with behavioral or safety rules during the experience.
6. Program Modifications:
The association reserves the right to modify the itinerary or program of the experience in the event of adverse weather conditions or other unforeseen circumstances, in order to ensure the safety of the participants.
In such cases, we will do our best to offer an equivalent alternative experience.
At sea, the skipper’s decisions regarding safety, navigation and the day’s program are final.
7. Force Majeure:
The association will not be liable for delays or cancellations caused by force majeure events, such as natural disasters, government restrictions, pandemics, or other circumstances beyond our control.
For this reason, we strongly recommend taking out a travel insurance policy that covers this type of event, including trip cancellation, interruption and the additional costs they may cause.
8. Privacy and Use of Personal Data:
The personal data provided at the time of booking will be used exclusively for administrative purposes related to the experience and will not be shared with third parties without the member’s consent, in accordance with current privacy regulations.
9. Responsibility for Equipment:
If the association provides the necessary equipment for some of the activities, participants will be responsible for the correct use of the equipment and for any costs arising from damage or loss due to negligence or misuse.
10. Image & Media Release:
During the experiences, the crew may take photographs and video footage that include participants. By joining, you consent to Ikigai Sailing ASD using this material (on our website, social media and promotional materials) without compensation, solely to document and promote the association’s activities.
You may withdraw this consent at any time by writing to [email protected]: we will stop using new material featuring you and remove existing material wherever reasonably possible.
11. Governing Law:
These terms and conditions are governed by Italian law. Any dispute that cannot be resolved amicably will be under the jurisdiction of the Court of Rome.
